How it works

Start straight away.
Step by step, alongside your people.

Start straight away with what you already have. Kula keeps learning how your business works, week by week, alongside your people. Nothing to rip out or replace, and you see it working before anything changes.

First
Kula Intelligence is set up

Your systems are connected, your history and documents loaded, and a model of how your business works is built.

Then
Kula Ops goes to your team

When you are ready, briefings, handovers, incident help and the time clock, on their phones.

When it suits
Kula Fitness and the Tribe app

Shaped around classes, teachers, covers and members, with the teachers’ app alongside.

Four steps

Four steps, at your pace.

Kula starts with what you already have and works alongside the systems you already run.

01 / SET UP

Set up Kula Intelligence.

Connect the systems you already run, load your history (24 to 36 months where the system allows), and share the documents you already have: ops manuals, job descriptions, checklists and the files your team already works from, wherever they live.

02 / MODEL

A model of how your business works.

Kula Intelligence builds it: people, roles, duties and the rhythms of the week, with full history kept, so nothing learned is lost when someone moves on. It grows week by week, and you can ask it questions from the start.

03 / RELEASE

Release Kula Ops to your team.

When you are ready: briefings, handovers, incident help and the time clock, on their phone, for every role. Your people make the calls. Kula makes sure they have what they need.

04 / IMPROVE

Keep improving together.

Agree a starting baseline, track the early wins, and celebrate them with the team. From there, move on to Kula Fitness and the Tribe app when it suits. What changes next is your call.

What does not change

Your systems, your people, your decisions.

Your systems stay

Kula works on top of the booking, membership and payment systems you already run. Your team keeps the tools they know. Nothing to rip out.

Your people run the business

Kula backs the people who run your business. It makes sure they have what they need, and they decide what happens next.

Your decisions, at your pace

Start small, see it working, then decide what changes next. Nothing changes in how you run things until you are ready.

Time Kula gives back is capacity for people, never a reason to cut.

What we believe →
Time given back

How we measure time given back.

The way work has been measured for a century, in plain words. No magic, and no number we cannot show you the working for.

Break a task into steps

Take one task the team does often, such as the opening checks or a shift handover, and write down each step.

Time each step

Time how long each step takes today, with the people who do it, on an ordinary day.

Multiply by how often it happens

A ten minute task done every shift, at every site, adds up. The multiplication is where the time lives.

Compare before and after

Do it again with Kula Ops alongside the team. The difference is time given back, as capacity for the people in front of them.

Model estimate

One follow-up, timed step by step

The example: a club manager asks, “Has the 6am door fault been fixed?” They have to find out whether the contractor came, whether the desk logged it and whether members were told.

TodayThe manager does every step
7.4 min
With Kula OpsKula follows up with the owner and records the status
2.2 min

3 in 10 follow-ups still need the manager, and those take the same steps as today. The other 7 in 10 are handled and logged by Kula.

The steps today, in minutes

  1. Recall what is still open0.50
  2. Park the current task0.25
  3. Walk over, or write a message or call1.12
  4. Wait for them, or for a reply1.00
  5. They are busy or off site: try again0.80
  6. Get the status1.75
  7. Get back into the task1.50
  8. Note the status0.50
  • Reaching the person
  • Getting and noting the answer
  • Switching away and back

Walking over and messaging are each half of follow-ups, so the third step is the blend of the two.

Time given back

4.2 minper follow-up on average, with the team using Kula Ops 8 times in 10
24follow-ups per club manager per week
1.7 ha week back, per club
0.8 ha week back for the colleagues being chased

Time back for members, the team and the floor. People run the clubs. Kula supports them.

Method: a standard time study. Break the task into steps, time each step, multiply by how often it happens, compare before and after. Step times and how often follow-ups happen are modelled assumptions, not yet measured at a customer’s club. Modelled range: about 1.2 to 2.8 hours a week per club. The door fault is an illustration of the follow-up line, and your own numbers are the ones that count, so we measure them in your business before and after.

Model estimate. Any figure from this method is a model estimate until you measure it yourself in your own business. We label it that way everywhere it appears, and we only publish results our customers have signed off.

What we need from you

Less than you might think.

Most of what Kula needs already exists in your business. It just lives in different places.

A timber front desk with a notebook, a pen and a tray of keys, and a bright gym floor beyond
  • Your existing documents: ops manuals, job descriptions, checklists and the files your team already works from, wherever they live.
  • Access to the systems you already run, such as your booking, membership and payment platforms, with your admin’s consent.
  • Time with someone who knows how the place really runs, so the model matches real life.
  • A say in what changes and when. That stays with you.
Questions

Common questions.

Who gets access to our data, and how is consent handled?

Kula connects to your systems with your admin’s consent, and reads from them. It does not change classes, instructors or members inside your booking system. Your documents are read with the same consent, and you can withdraw it at any time.

Who sees what?

Each role sees what the role needs, and no more. A team member sees their shift, their duties and their messages. A club manager sees the club. Head office sees every site. You decide who sits in which role.

How long does setup take?

Setup connects your current systems to load your history (24 to 36 months where the system allows), loads your manuals and documentation, and builds the model of how your business works, ready for rollout to your team. How long that takes depends on how many systems and sites you have, and we agree it with you at the start. Your team can use Kula from day one while it is happening.

What if we stop?

You can stop at any time. We remove Kula’s access to your systems and documents, and we purge your business’s data within 30 days of the account closing, apart from the minimal records we have to keep for legal, tax and accounting purposes. The detail is in section 9 of our privacy policy.

Do we have to replace our booking or payments system?

No. Kula works on top of the systems you already run, such as GymMaster, Mindbody, Wix, ClassPass and Stripe.

Can Kula fit the way we work?

Yes. Kula Ops comes with the things every shift needs, with a set of Apps ready to use, and your business can build its own for the jobs particular to it, such as maintenance, community events or commissions. You choose who can open each App, and an App can read from and update the other systems you run, so the team does not have to log in to each one. See Apps.

Is Kula a replacement for staff?

No. Kula backs your team so they spend less time chasing and more time with the people in front of them. Any time it gives back is capacity for your people, never a reason to cut.

What does it cost?
